Why white-label matters for agencies
How clients see you. If candidates and clients see another company's brand on every screen, your service looks like a reseller of someone else's software. Your own brand turns the consultancy into a product.
Candidate experience. Candidates expect to see the brand of the company or agency they are dealing with. Being sent to an unfamiliar platform increases drop-off.
Commercial independence. If a client knows exactly which tool you use, they can go to that tool directly. For agencies paid per placement, that is a real risk.
Five levels of white-label
When a vendor says "we support white-label", ask which of these they mean, in writing:

A common disappointment: an agency believes it has a white-label product, then discovers the candidate invitation email still carries the vendor's name. The best demo test is to ask the vendor to show every screen the candidate will see and every email the candidate will receive. How your own panel looks is secondary.
Multi-client work is the harder part
White-label usually comes together with running several clients in one system, and that is where the technical difficulty lives:
- Data separation. One client's candidates must never appear in another client's view. This needs to be part of the architecture, not just a role permission.
- One candidate, several clients. A candidate may be presented to three clients for three different roles, and those processes must run independently. Classic ATS products, designed for a single employer, often struggle here.
- Client access. Can your client log in and see the shortlist? Only for their own roles? Can they comment there, or does feedback still arrive by email?
- Reporting per client. In consulting, per-client process reports are part of billing and relationship management.

When another tool may fit better
White-label is not the only thing an agency needs. If your firm's core workflow is business development, contract terms, placement fees and invoicing, a recruitment CRM built around the agency's revenue cycle may matter more than branding. KVKK: the agency's extra responsibility
When you process candidate data on behalf of a client, it has to be clear who the data controller is. The usual structure is that the client who opens the role is the controller, the agency processes on its behalf, and the software vendor is the agency's sub-processor. That chain should be set out in contracts.
In practice this means:
- Candidates must be told which company their data will be shared with
- Data held in your own talent pool and data processed for a client serve different purposes
- When a candidate asks for deletion, you need to find their data both in your system and on the client side

- Is there a client portal, and can it be branded?
- How is data separated between clients?
- Can the same candidate be in several client processes at once?
- Is white-label an extra charge, and in which plan?
- Are the sub-processor chain and data location documented?
