Recruitment Software for Headhunters and Executive Search Firms in Turkey

Headhunting and executive search firms in Turkey usually work with a combination of tools: a recruitment CRM to manage candidates, clients and placements (global products such as Bullhorn, Recruit CRM or Manatal are common choices), LinkedIn for sourcing, and increasingly an AI platform for search, CV screening and candidate comparison. Why a classic ATS is a poor fit for search firms

An ATS assumes a process that starts with a job ad and continues with applications. Headhunting works the other way round. Four differences follow from that:

  • Confidentiality. A client must not see another client's candidates, and you need control over who is presented where. This goes beyond role-based permissions.
  • Revenue. Placement fees, guarantee periods and invoicing. A classic ATS has no concept of revenue.

What a recruitment CRM does differently

Products that answer these needs are usually called recruitment CRMs or staffing software. The difference is that they put the relationship, not the job, at the centre.

In an ATS, a candidate is attached to a position, and when the position closes the candidate goes to the archive. In a recruitment CRM, the candidate is an independent record and positions come and go around them. When they were last contacted, what was discussed, what they are waiting for and which clients they were presented to all belong to the candidate's own history.

Seven things to check

  1. Is the candidate pool searchable? A search firm's most valuable asset is its archive. In a pool of 5,000 people, does a query like "Istanbul, fintech background, not contacted in the last 18 months" work?
  2. Is there a client side? Can you manage clients, their roles, the candidates presented and the stages separately?
  3. Can one candidate sit in several processes? Presenting the same person to three clients for three roles without the records mixing is where many ATS products struggle.
  4. Is contact history kept? Email, phone, LinkedIn messages. Can you see that a colleague spoke to this candidate six months ago?
  5. Does it help find passive candidates? If you do not post ads, candidates have to come from somewhere.
  6. How are shortlists presented to clients? A PDF, a shared link, or a view the client can comment in?

KVKK is sharper in headhunting

In corporate hiring, the candidate applies to you, which makes the basis for processing much simpler. In headhunting the candidate does not apply. You find them, so the question of what legal basis you collected their data under becomes more visible.

You also pass the candidate's data to a third party, your client. That transfer needs to be disclosed to the candidate and have a basis.

In practice: keep consent records that show who agreed to what and when, define a retention period and make sure something actually happens when it expires, and be able to find every record when a candidate asks for deletion. A quick decision test

If you answer yes to these three questions, a classic ATS will probably be too narrow:

  1. Do you recruit for more than one client?
  2. Are most of your candidates people you found rather than people who applied?
  3. Do you consider the same candidate for several roles over time?

If all three are no, a simple ATS is enough, and it will work better precisely because it is simpler.
